Administrator - Site

Job Responsibilities

Health, Safety and Risk

  • Ensure compliance with all relevant legislation, codes of practice, Macmahon and Client instructions, policies, procedures and practices
  • Adhere to correct PPE requirements
  • Ensure work area is maintained according to correct standards
  • Report accidents, incidents, hazards and near misses using correct procedure

Technical/Operational

  • Manage the functions of administration as per the site requirements including timely delivery of all required reports on a daily/monthly basis
  • Ensure administration is carried out in accordance with Macmahon systems and expectations
  • Ensure that the Filing system is implemented and maintained, including archiving of records as necessary as per Macmahon procedures
  • Manage all information, records and systems of project employees
  • Responsible for the processing and input of all data to Project cost and management systems using Mainpac, InControl, Chris 21,Tuffwear, Request Centre, and manage Accruals
  • Accurate Data Entry in line with task specific deadlines/timeframes
  • Be able to process payroll within the Roster-On system
  • Monitor, control and ensure that all work is conducted in a manner that ensures that the required quality is achieved within budget and timeframe
  • Identify and suggest improvement opportunities leading to safer workplaces, increased productivity and increased efficiencies
  • Provide high level customer service
  • Assist Project Manager with claim requirements
  • Mobilisation of new starters, visitors and contractors
  • Process disciplinary requirements
  • Crib room and stationary orders as required
  • Book/amend travel, accommodation and hire car needs in accordance with current standing project or organisational arrangements

Commercial/Financial

  • Demonstrate an awareness of costs and financial impacts of the work
  • Minimise costs to the business
  • Comply 100% to the supply chain process

Team Contribution

  • Work together with HSEQ, Training and safety departments located at the WAC
  • Work collaboratively with other administrators to achieve optimal productivity and service
