Legal and Finance Administrator - Perth

We are currently looking for an experienced Legal & Finance Administrator to join our Team in our Perth Airport Head Office. This opportunity is offered on a 5 days on 2 days off Monday to Friday roster and will an administrative assistant with previous experience working in the busy corporate environment.

 

Reporting to Finance Manager, the primary focus of the role is to provide specialised administrative support to both the finance and legal departments, inclusive of Company Secretarial department. Daily duties will include but, will not be limited to:

 

  • Preparation of templates for Board and Audit Committee meetings;
  • Submissions of agendas and presentations for meetings , together with collation, printing and filing of board papers and management reporting documents;
  • Assisting with ASX and ASIC requirements;
  • Calendar management for Board and Committee meetings;
  • Organisation of all travel arrangements for Board Members and Management team;
  • Co-ordinate catering for meetings;
  • Maintenance of director point (for meetings agenda’s and file uploads);
  • Credit card reconciliations for key Executive and Board members;
  • File & document management for the legal and finance teams (including electric files and hard copy files and archiving);
  • Completion of purchasing and receipting for the Management team;
  • Invoicing including receipting of legal and executives’ expenses claims and invoices;
  • Supporting the finance team with preparation of monthly agendas and set up of presentation files for executives;
  • Assisting the finance team with asset cost creations, reconciliations, account expense clearing and receipting of overhead invoices ;
  • Provide reception relief as rostered from time to time; and
  • Other administrative duties as required and directed from time to time.

 

To be considered for a role, you will require:

  • Previous experience in a similar role, accompanied by relevant qualification;
  • Well-developed verbal and written communication skills;
  • Excellent attention to detail and exceptional organisation talents; 
  • Advanced MS Office suite skills and ability to master new systems quickly;
  • Demonstrating commitment to Macmahon safety culture and values; and
  • Current Manual "C" Class WA Drivers Licence or equivalent.

 

As a part of the recruitment process for this role you may be required to complete a pre-employment medical, inclusive of laboratory drug and alcohol screen and complete a criminal history and qualification checks. Additionally you will have to provide proof of working rights in Australia i.e. copy of valid Australian passport, birth certificate, citizenship certificate or current visa grant notification.
